Reporting functionality for Company Admins Apr 22, 2016

Content Raven has the ability to generate reports for Company Admins that can provide useful insights / analytics on end-user access of shared content.

To access these reports Company Admin needs to login to Content Raven portal.

The Company Admin needs to select the organization of interest. The organizations are listed under “Files” on the left navigation bar.

The top grey task bar of the Content Raven portal will display among other icons a “Reports” icon highlighted in red in screen shot below:

Clicking on the “Reports” icon will display the following Reports page:

There are 2 kinds of Reports. They are:

  • “Share” Reports – Reports that can be created as a result of Admin sharing content with end-user using “QuickShare” and “Add to Share” methods of sharing.
  • “Set Access” Reports – Reports created because of Admin providing access to content to the end-user using the “Set Access” method.

“Share” Reports: The four types of reports that can be generated by the “Add to Share” and “QuickShare” methods of sharing content:

  1. Content Access Report
  2. Content Shared Report
  3. Page Access Report
  4. User Access Report

Content Access Report: The Content Access Report provides Company Admins and other personnel in the organization who have shared content, details regarding the content that they shared. These details include who sent the content, who received it and whether the recipient accessed the content and for how long they had viewed the content.

This report will only list all content that has been actively accessed/viewed by the end-user.

There are 4 types of filters that can be used to generate these reports (highlighted in screen shot below):

  • Content
  • By Email
  • By Date
  • Company

With the exception of the “By Date” selection, all the other filter selections also have a “Search” facility where Admin can enter the item of interest in the displayed list.

Once the filter selection is done, the “Generate Report” blue icon needs to be clicked to generate the report. The screen below shows the “Content” view for selecting a particular content. All content marked with a beginning “DEL” are content that has been deleted by Admins but Content Raven continues to retain associated data in order not to lose any analytics.

Once the “Generate Report” blue icon is clicked the system will display the following message:

Content Shared Report – The Content Shared Report provides Company Admins details such as what content was shared by whom, to whom, when, how many devices were allowed etc.

There are 4 types of filters that can be used to generate these reports. They are (highlighted in screen shot below)

  • Content
  • By Email
  • By Date
  • Company

Once the filter selection is done, the “Generate Report” blue icon needs to be clicked to generate the report. The screen shot below shows the “By Date” selection screen. Admin can enter the Start and End Dates for the time period they wish to secure the report.

Page Access Report: This report gives Company Admins details such as what pages were viewed, where, by whom, for how long, and on what device.

There are 4 types of filters that can be used to generate these reports. They are (highlighted in screen shot):

  • Content
  • By Email
  • By Date
  • Company

Once the filter selection is done, the “Generate Report” blue icon needs to be clicked to generate the report.

User Access Report: This is an exhaustive report that provides the details of content access for every user in the system. This is a very large report that does not have any filters.

Set Access Reports: The 3 kinds of reports that can be generated by the “Set Access” method of providing access to content, to end-user.

They are:

  1. Content Access Report
  2. Page Access Report
  3. Contact Set Access Report

Content Access Report: This report provides Company Admins details such as what content was accessed, who sent the content, who accessed it, and for how long.

There are 6 kinds of filters that can be used to generate these reports. They are (highlighted in screen shot below):

  • Content
  • By Email
  • By Date
  • Company
  • Folder
  • Group

Once the filter selection is done, the “Generate Report” blue icon needs to be clicked to generate the report.

Page Access Report: This report gives Company Admins details such as what pages were viewed, where, by whom, for how long, and on what device.

Contact Set Access Report: This report gives Company Admin details such as what content was provided access to whom, since when and with what Permission ID.

  • By Date
  • Company
  • Folder
  • Group
